Whether you need to read your Volunteer Handbook, claim your expenses, or check your Volunteer Agreement, our dedicated team is here to help. Every volunteer is supported, whatever their role or background.

We believe volunteers are the heart of everything we do. The Volunteer Hub exists so that no one feels unsupported, help is always at hand, and every volunteer is treated with dignity and warmth. Thank you for being part of something special.

Your Onboarding Checklist

A few final steps to make sure you're fully set up:

  • Read the Volunteer Handbook (below) — it covers everything from safeguarding to what to wear.

  • Read and sign your Volunteer Agreement (below), if you haven't already (only required for repeat volunteers).

  • Complete any outstanding checks — ID verification and safeguarding checks, if required for your role.

  • Attend your induction session with your volunteer coordinator.

  • Meet your team and get confirmed dates/times for your first shift.

The Volunteer Handbook

Your Volunteer Handbook is the complete guide to volunteering with Muslim Charity. Keep it close — it's there to support you, not to overwhelm you.

Inside the handbook, you'll find:

  • Who we are and what we stand for

  • Your role, responsibilities, and what we expect of each other

  • Health and safety guidance

  • Safeguarding responsibilities and how to raise a concern

  • Equality, diversity, and inclusion at Muslim Charity

  • Confidentiality and data protection

  • Dress code and conduct at the Hub and at events

  • What to do if you're unwell, running late, or need to step back

  • How to raise feedback, concerns, or ideas

  • Who to contact for support

Claiming Expenses

Volunteering should never cost you money out of your own pocket. If you've paid for something as part of your role, we want to make it easy for you to get that back.

What you can claim for:

  • Travel to and from your volunteering location (public transport at standard fare, or mileage for essential car use)

  • Approved materials or supplies bought for a specific task

  • Any other costs pre-agreed with your volunteer coordinator


What you'll need:

  • A completed Expense Claim Form (available here)

  • Original receipts or valid proof of travel wherever possible

  • Claims submitted within 2 weeks of the expense being incurred.


How it works:

  1. Keep your receipts as you go.

  2. Fill in the Expense Claim Form with the date, amount, and reason for each cost.

  3. Send over relevant receipts to Olivia, via email at olivia@muslimcharity.org.uk or using WhatsApp on +447344359711.

  4. Approved claims are reimbursed within 10 working days, usually by bank transfer.

If you're ever unsure whether something is claimable, ask before you spend — your coordinator is always happy to check. And if there are costs which make volunteering difficult (such as meals when volunteering), please speak to us to see how we can support.

  • Health & Safety

    Sets out Muslim Charity's commitment to keeping staff, volunteers, and visitors safe. Covers individual responsibilities, hazard/accident reporting, fire and first-aid procedures, and wellbeing support, including guidance for lone working.

  • Volunteering

    Sets out the framework for how volunteers operate at MC, covering role descriptions, induction, and support. Defines rights and responsibilities on both sides, including expenses, insurance, supervision, recognition, and how to raise concerns or end a volunteering arrangement.

  • Safeguarding

    Sets out Muslim Charity's commitment to protecting children and vulnerable adults across all our work. Applies to staff, volunteers, and trustees. Covers key principles (prevention, protection) and defines abuse, neglect, and vulnerability to guide safe practice.

  • Social Media

    Guides how staff, volunteers, and trustees use social media, both official channels and personal accounts. Covers respectful conduct, protecting beneficiaries' identities in photos/videos, confidentiality, and avoiding discriminatory content.

Volunteer Agreement

This isn't a legally binding employment contract - it's a statement of the mutual commitment between you and Muslim Charity, so everyone knows what to expect. This agreement is only required if you are volunteering with us more than once; if you’re joining an event then you can leave this out.

We agree to:

  • Give you a clear role, with proper induction and training

  • Treat you with respect, fairness, and dignity at all times

  • Cover reasonable, pre-agreed expenses

  • Listen to your feedback and support you if problems arise

  • Keep you safe, and take safeguarding seriously

You agree to:

  • Carry out your role to the best of your ability

  • Treat staff, other volunteers, and the community with respect

  • Follow our policies on safeguarding, health and safety, and confidentiality

  • Let us know if you can't make a shift, or if you need to step back

  • Represent Muslim Charity's values, whether at the Hub or out in the community

Either of us can end the volunteering arrangement at any time, for any reason - we just ask that you let us know so we can plan around it.
